Accounting Services

Depending on individual requirements, GPE Management Services, LLC recognizes the need for prompt, accurate and comprehensive property information. For this reason, our accounting staff provides clients with computer generated information, from tenant invoicing to profit and loss statements, to cash flow budgets and variance reports. GPE utilizes the latest web based real estate management and accounting software, which allows GPE to provide detailed financial and property information. These reports can be generated monthly, quarterly or to specifically meet the needs of the individual property. These reports enable GPE’s clients to closely monitor each property and serve as a basis for input in the decision making process.

Through its web based software GPE also has available the capabilities to offer a personalized logon name which allows clients to have real time data on the financial and management status of their property.

GPE is prepared to handle the collection of all assessment and other income and attend to the payment of insurance and recurring monthly expenditures. Additionally, with GPE, our cash-basis accounting statements are ready for C.P.A. tax preparation.

 

Key Personnel

To provide the quality of service necessary for first class office and association management, GPE has available maintenance personnel that will focus their time on each property under our supervision. Depending on the size of the building, GPE can provide an on-site manager and administrative support, or in the case of smaller facilities, staff will tour the building numerous times during the week and communicate with each tenant or unit owner to ensure their needs are being met.

Staff is always supported and monitored by GPE’s corporate office for optimal performance.

 

Building Engineers & Maintenance

Our staff of full-time maintenance personnel to handle numerous repairs at a reduced cost over contract vendors. This staff is trained in all areas of building maintenance and offers 24-hour emergency response when necessary.

GPE will soon be setting up web based service management software which will track work order and maintenance jobs being performed at all of its properties. This software, designed by a national leader in maintenance and work order tracking, will allow all of GPE’s vendors, tenants, owners and staff the ability to request, respond and view the status of all maintenance required at properties it manages in real time. This software will allow all those who request maintenance the ability to see the status of their request while at the same time keep vendors and GPE staff in constant communication.

 

Tenant Renewals

Due to our daily contact with tenants and the relationships it has been able to maintain, GPE has been very successful in handling the lease renewals of tenants. As GPE is aware of their concerns and questions on a first hand basis, it has been GPE’s experience that it’s staff can negotiate with existing tenants more successfully than an outside real estate broker. In fact, over the past five (5) years, GPE has successfully retained the tenancy of over 90% of its tenants. Due to its daily contact with tenants, GPE’s renewal commission rate is substantially lower than contracting with outside brokers.

 

Tenant/Owner Relationships

GPE is very concerned with the satisfaction of the tenants/unit owners that occupy the buildings we manage. Accordingly, GPE endeavors to contact each tenant/unit owner on a regular basis, not only to be sure their needs are being addressed, but also to determine what areas they would like to see improved. This allows tenants/unit owners to feel that they are involved in the building’s decision making process, which generates good building relations. Additionally, tenant/unit owner’s actions are regularly monitored to eliminate potential problems. GPE is also very aware of the difficulties associated with charging for building operating costs (CAMs). For this reason, each year tenants and unit owners are provided with detailed explanations of expenses, and a member of GPE’s staff will personally meet with each occupant, if necessary, to explain the charges while maintaining a positive relationship.

 

Property Improvements

GPE has the ability, while being attentive to the concerns of our clients, to design, coordinate and oversee the implementation of various types of capital and tenant improvement projects. Whether new landscaping, suite build-outs, building "face lifts" or total remodeling, GPE has the knowledge and experience to make necessary decisions and oversee the project.

Contract Services

GPE recognizes the importance of operating a professional and well-maintained property in a cost effective manner. Over the years, we have established long standing working relationships with various vendors and service companies that fulfill the goals and requirements GPE has established, generally at costs below those available to the public.

 

Property Owners Associations

GPE’s Property Owners Association division is well versed in the special needs of commercial association management. Its property managers are experienced in enforcing the individual CC&R requirements that may be unique from association to association and have expertise in the administration of issues that impact unit owners. If requested, GPE’s staff is available to attend and participate in scheduled board meetings. GPE’s accounting department works closely with management staff to ensure assessments are timely and accurate and a full accounting is provided to association board members to ensure that proper reserves are being maintained.

GPE’s maintenance division can also offer individual unit owners the convenience of receiving basic interior unit maintenance at a cost competitive with an outside vendor. Additionally, with GPE’s maintenance staff, unit owners are assured of personnel that are aware of the integration of the individual units to the entire building as a whole. These services are offered on a work order basis and are charged to the individual unit owners only when work is authorized.
